 If You’re Still Digitizing, You need to read this now!


I’ve been working as a consultant for digitizing companies for well over 15 years, and I can’t tell you the amount of companies that still have their documents in a long-forgotten filing cabinet somewhere. Like, it could be anywhere.

It’s like this, there’s a folder somewhere, and it contains a few pages of information.

There isn’t a business process in place for managing this paperwork. It gets lost, taken home by an employee, scanned incorrectly and so on.

I find that often the only time people think about digitizing their documents is when the company is going through some sort of reorganization or cleaning out its deadwood employees. This usually involves going through filing cabinets and archiving them onto CDs or storing them in an FTP server somewhere. None of these solutions give you access to your document when you need it and provide you with answers to questions quickly.

So why not take time now to clean out that folder and keep your documents as current as possible. Here’s the scenario: you’re asked to make a presentation in front of several people. You searched for the presentation and found it, but the backup you have doesn’t match up to anything on this new hard drive.

This might be an opportunity to stop and handle this now, rather than later when there’s more work to do (that is, if it even gets to that point).

I’m not gonna be all about the latest, greatest software for this, but I do feel it’s important to mention that the software available today is crazy good for what it does. If you want to get some great tips about making the switch from analog (you can go read tech articles, there are plenty out there) and clean up your documents, here’s a great blog article that has a ton of info.

And while I’m on the subject of digitizing… Here’s something that makes me really happy: The future belongs to those who prepare for it today! Fly away!
