How do I communicate with my virtual assistant?
Virtual assistants are becoming a popular way to automate your day-to-day tasks. You can use the power of technology to delegate and control your work. But how do you actually communicate with your virtual assistant? There are a few ways. First, you could just leave voice memos on the assigned task or issue and allow them to record their reply for you to hear back when it's completed. Or, you could use an app like ThinkToSpeech. It has a built-in speech recognition technology that can transcribe and play back what your virtual assistant says.
The voice memos work for simple tasks, but it's not my preferred method because I like an immediate response. Sometimes, I just want to speak directly to my assistant and I don't have time for the extra step of saving a recording.
The other option is to record your own voice message or audio file so that the virtual assistant can listen to your voice response. This is very simple and easy — all you have to do is record a sample of yourself reading out loud in order for it to understand what you want it to do when triggered. But it's also time consuming.
Using ThinkToSpeech
Now, let me show you how I use ThinkToSpeech to communicate with my virtual assistant. I usually have 3 different tasks for my virtual assistant to perform throughout a day. The tasks can be simple like "remind me to do X by Y", or more complex like "build 6 widgets for customer C". So, I have 3 standalone voice memos for each task and a separate one for assurance that the task was completed (this is just an audio file that simply says something along the lines of "your task is complete"). Here's how I set everything up.
I create a folder for each task that I want to assign. In each folder, I create a text file using Notepad++. The title of the text file is the same as the task name so that it's easy to identify what I'm looking for. Within the text file, I write in plain English how the virtual assistant is to carry out the task. For instance, if my mission was to build 6 widgets for customer C:
" Build 6 widgets for customer C "
" Customer name: Customer C "
" Place order with ABC Widgets "
I then save this title as a .txt document just in case something goes wrong and I want to revert back to it easily.
The next step is to create the voice memo that I will play when sharing the audio file with my virtual assistant. The voice memo contains a couple of things:
The title of the text file that I just made.
A reminder or intro on how to carry out the task that I'm asking from them. This way, they will know what needs to be done and what steps to take immediately when they hear my voice message.
A reminder about the time and date for them to complete this task. This way, if I have several tasks to be completed within a day, my virtual assistant can prioritize this task for you by working on it first because it's due today or tomorrow.
Finally, I attach this voice file and audio file to the text file that I just made and send it to them.
That's all there is to it! Now, whenever I want my virtual assistant to carry out a task, I just have to access the folder (text file) and share the audio file. When they receive it, they immediately trigger their speech recognition function and start listening for instructions. The speech recognition feature will play back the instructions in English (if you're using English as your default language). This makes it very easy for both you and your virtual assistant to understand what needs to be done.
When I communicate with my virtual assistant like this, there is no room for interpretation or confusion. It's clear-cut and efficient so that the task can be completed quickly.
